Off-Campus Access to Licensed Electronic Resources Policy
Purpose
This policy covers off-campus access to the UM Libraries licensed electronic resources, including databases, e-journals, and e-books, requires current enrollment or employment with the University of Miami, and is available as outlined here. Access is governed by the licensing agreements with publishers/resource providers.
Definitions (defined by the University of Miami Faculty manual)
- GENERAL FACULTY consists of the UNIVERSITY FACULTY and the ASSOCIATED FACULTY.
- UNIVERSITY FACULTY consists of the President, the Executive Vice President and Provost, the academic deans, the REGULAR, RESEARCH, LIBRARIAN, and EDUCATOR FACULTY.
- ASSOCIATED FACULTY are all faculty with authorized professorial titles prefixed by “Voluntary,” “Adjunct”, “Visiting”, or “Affiliated”, Instructors appointed on or after June 1, 2013 and all Lecturers.
- EMERITUS FACULTY are members of the UNIVERSITY FACULTY holding the rank of Associate or Full Professor who meet the requirements listed under the University of Miami Faculty manual and are verified by the University of Miami Faculty Affairs office.
Policy Description
This policy covers off-campus access to the UM Libraries licensed electronic resources, including databases, e-journals, and e-books, requires current enrollment or employment with the University of Miami, and is available as outlined here.
University of Miami Undergraduate Students, Graduate Students, Medical Students, and Law Students currently enrolled through the Coral Gables, Rosenstiel School, and Medical campuses:

- Current enrollment is defined as enrolled at the University of Miami for the current semester. New students have library privileges beginning with the first day of classes for the first semester enrolled in classes.
- From mid-May through mid-August, enrollment for the summer session or the forthcoming fall semester (if enrolled for the previous spring) qualifies as current enrollment.
- To avoid a break in service following active summer enrollment, the student must be enrolled for the forthcoming fall semester.
- From mid-December through mid-January, enrollment for the forthcoming spring semester qualifies as current enrollment (if enrolled for the previous fall).
- For students who have a lapse in enrollment, library privileges resume with the first day of classes for the next semester enrolled.
- Incoming students who are completing Student Readiness Orientations (SROs) are not allowed early access toall of the libraries’ electronic resources. The SROs must be completed with open access electronic resources.
- Off-campus access to these resources ends following graduation from the University.
- Graduate students who are actively engaged in research with a UM faculty member after their graduation can request access with an email or a letter from the sponsoring faculty member. Contact Jose Rodriguez, Head of Access Services at Richter Library, at jfr133@miami.edu for access.
University of Miami General Faculty, Staff and actively authorized Affiliates (including Emeritus Faculty and Visiting Scholars):

- Current employment requires active or leave payroll status or active status as an Affiliate in the University of Miami campuses Human Resource records.
- Individuals with courtesy/term appointments with a College, Unit, or department have access to library resources while in active status in UM Human Resource records.
- Off-campus access to these resources ends immediately following the end of employment with the University. The exception is that Emeritus, as determined by the Faculty Affairs office records, continue to qualify for access to licensed resources as described in this policy.
All Other Library Users
In general, the following groups are not allowed off-campus access to Libraries’ licensed electronic resources:

- Individuals no longer enrolled or employed at the University of Miami
- Retired faculty and staff (excluding emeritus faculty)
- Community members / Coral Gables resident
- Library guest pass holders
- Friends of the Libraries
- Amigos of the Cuban Heritage Collection
- Independent researchers without affiliation to the University of Miami
- Incoming students who are completing Student Readiness Orientations (SROs)
- Alumni, except for the limited selection of electronic resources granted by the Alumni Association. Please contact alumni@miami.edu for assistance.
- UM/Jackson volunteers
- UM/UMH patients
- Jackson students
- Veterans Administration employees
- JHS patients
- Government document users
- Professional librarians beyond the University of Miami
- Prospective students/family
- General visitors
Off-campus access to the Libraries’ licensed electronic resources cannot be purchased from the University of Miami Libraries owing to the licensing agreements entered into with the resource providers.
Procedure
Occasionally, there are faculty, staff, and students who need help with access to the Libraries’ electronic resources. Here are some common cases:
Faculty and researchers with a courtesy appointments can request access to the Libraries’ electronic resources.
Students who are actively engaged in research with a UM faculty member after their graduation can request access to Libraries’ electronic resources.
In these cases, an email or letter from the appropriate UM faculty member or department head sponsoring the research, a C number, and a date of access expiration is needed in order to set up access with one of the following library contacts below.
